Job Description

Tall Ships America is looking for someone to join their small but mighty team. The Program Coordinator will be responsible for developing new initiatives, monitoring performance of current activities, coordinating the Annual Conference and other events, and communicating and engaging with membership and others on a frequent and regular basis. Objectives: To promote education under sail by increasing public awareness of and support for sail training and education under sail. The Program Coordinator will work with the Executive Director and various Committees of the Board to develop new initiatives and monitor performance of existing activities; track performance metrics, set goals and benchmarks, provide regular performance reports; support the TALL SHIPS CHALLENGE® Series of events, coordinate the Annual Conference event, and engage and communicate on a frequent and regular basis with members.

Areas of Responsibility:

  1. Membership and fundraising database, market data and benchmarks, and internal performance metrics;

  2. Programs and initiatives that support membership;

  3. Website, monthly newsletters, blogs, social media and campaigns;

  4. Events and activities, including the TALL SHIPS CHALLENGE® Series.

Specific tasks will include, but are not limited to:

  • Developing, transitioning, and maintaining the new member database alongside the Membership Coordinator.

  • Providing membership, fundraising and market performance reports based on member numbers, engagement levels, number and depth of member contact, size and scale of member market.

  • Developing marketing strategies and tools to promote Tall Ships America’s activities and support for its essential sail training and educational mission through appropriate channels of communication including the website, monthly newsletters, blogs, social media and campaign materials.

  • Coordinating the Annual Conference to include working with the Conference Planning Committee, vendors/exhibitors, sponsors, speakers, attendees, and the venue to ensure a successful event.

  • Creating new programs and initiatives that support membership and delivering high quality products and services.

  • Communicating with the public about Tall Ships America, sail training and tall ships.

  • Supporting the TALL SHIPS CHALLENGE® Series as needed.

  • Any other reasonable task as requested by the Executive Director

Person Requirements: The Program Coordinator must be tech savvy with Microsoft Office and social media proficiency, and the desire and ability to learn new software applications as and when necessary. This position requires good communication and people skills, must work well as a significant member of a small team, and have the ability to take initiative and work independently. Marketing, communications and/or events experience highly desirable.

Working Relationships: The Program Coordinator reports to the Executive Director and will work closely with other staff and volunteers, including Board committees, to create targets and manage programs to attain goals with available and potential resources. The Program Coordinator serves as the central point of contact for affiliated and relevant partners, sponsors, and preferred vendors and is the staff liaison to Board committees as assigned.

Work Location: The headquarters office of Tall Ships America is currently in Newport, RI and the majority of work performed by the Program Coordinator will be done at the headquarters office. Some travel for work reasons may be necessary. Tall Ships America’s headquarters office may be relocated from time to time as determined by the Board and the Executive Director, and sufficient notice of such relocation will be provided to all employees.

Work Hours: This is a full-time position with benefits included. Normal office hours for Tall Ships America are 9:00 am to 5:00 pm. Out of hours work is occasionally required and the normal work schedule can be adjusted accordingly.
